Privacy and Credit Reporting Policy

VetPay Pty Ltd (“Vetpay”) is committed to ensuring the confidentiality and security of your personal and credit information. We will collect, use and handle your personal information in accordance with the Privacy Act 1988 (Cth) (Privacy Act) and the Australian Privacy Principles.

This Privacy Policy sets out our policy for the collection, use, disclosure and storage of your personal information and information relating to you, including credit-related information. Use of the terms ‘you’ or ‘your’ in this policy means both you as an individual, and if you are a representative of a business, your business.

 

1. What information we collect about you

(a) Information you provide to us

Most of the information we collect is provided by you directly. We ask for information about you when you apply for credit with us. This includes your name, address, contact details, passport or driver’s licenses, financial and other information such as bank statements, account details and bills. This may also include biometric information such as a photo of your face.

We request this information to assess your application, verify your identity, and if your application is approved, to manage any credit product we provide to you. We may also collect information about you when you contact us by email, through our website or by telephone.

(b) Information we receive from third parties

When you apply for credit with us, we may obtain credit-related information about you from third parties for the purposes of assessing and processing your application for credit. Credit-related information is a type of personal information that includes information about your credit history or creditworthiness. This includes information about your credit experience with us and other lenders, the type of credit products you have had, how you managed your credit obligations and a credit report which we obtain from a credit reporting body which contains information about your creditworthiness.

We also obtain information about your identity as required by the Anti-Money Laundering and Counter- Terrorism Financing Act 2006 (Cth) and information about you as required by the National Consumer Credit Protection Act 2009 (Cth) to help us decide whether or not to provide credit to you.

We may collect data about traffic and user behaviours when you engage with us through our website. We use this information to operate, maintain and develop our website.

(c) Sensitive Information

In some rare circumstances we may collect sensitive information about you, but we only do this when we there is a specific need and we have your consent or are required to obtain it by law. For example, we may ask you for information about your health to enable assessment of a hardship application, or we may obtain biometric information such as a photo of your face to verify your identity.

If you do not provide information we request we may not be able to process your application for credit or approve a hardship application.

 

2. Use and disclosure of information

We may use and disclose the information we collect about you for the following purposes:

  • to assess any applications by you for credit
  • to provide a product or service to you
  • managing credit provided to you, or collect payments that are overdue
  • to provide you with information about a product or service
  • to protect our business and other customers from fraudulent or unlawful activity
  • to conduct our business
  • to consider any concerns or complaints you may have
  • to manage any legal action
  • where required in order to comply with the law including reasonable requests from law enforcement
  • to exercise or protect our rights and property
  • to help us improve the products and services offered to you and our business
  • for matters or a particular purpose that you have specifically consented to

 

3. Who will the information be disclosed to?

The types of organisations we may need to disclose your personal information to include:

  • a veterinary service provider or their related entities
  • a related entity of VetPay
  • an agent, contractor or service provider we engage to carry out our functions and activities, such as our lawyers, accountants, debt collectors or other advisors
  • organisations involved in a transfer or sale of all or part of our assets or business
  • organisations involved in managing our payments including payment merchants and other financial institutions such as banks
  • regulatory bodies, government agencies, law enforcement bodies and courts
  • a person who manages credit provided by us, or assesses your application for credit
  • other credit providers
  • your guarantor, referee(s), employer, co-account holder or Authorised Signatory
  • a debt collector
  • anyone else you specifically authorise us to disclose it to

We do not disclose personal information to any overseas recipients.

 

4. Marketing material:

We may use your personal information to send you marketing material from time to time, unless you tell
us that you do not want to receive the material. We will not provide your personal information to any third party other than in accordance with our Privacy Policy and we will not use your credit information for direct marketing.

Unless you have told us not to, we may provide your information to other organisations to advertise or promote products, services, or opportunities we think may interest you. 5. Credit reporting:

When you apply for credit from us, we may request credit reporting information about you from a credit reporting body. This information includes information about your credit history with other providers and can help us assess your application.

A credit reporting body is a company that holds credit information about individuals and can provide it to credit providers. When we request a credit report we give the credit reporting body:

  • Information about you (your name and address and other personal information) so we can obtain the right credit report
  • Information about your application for credit

When we collect information about you from a credit reporting body, we do so to assess an application for credit you have made with us. We consider information from the credit reporting body such as:

  • Details of other credit products you hold
  • How you have managed repayments on existing credit products
  • Whether you have been in default in the past
  • Any serious credit infringements
  • Whether you have entered a financial hardship arrangement

We may also use derived risk ratings, credit scores and other analytics and insights from information we receive about you.

6. Your options about your information

(a) Your account information

You may update your account information by calling (08) 8465 1850 or by sending an email to myaccount@ vetpay.com.au.

You may not opt out of certain account-related communications (such as invoicing and payment reminders, changes/updates to your account, technical and security notices etc).

(b) Access, amend and correct your information

We do everything we reasonably can to ensure that the information we may collect, use or disclose is accurate, complete and up-to-date. You have rights to access your information and correct it if it is inaccurate, out-of-date or incomplete.

You can request access to the information we hold about you at any time by contacting us. We will respond to your request within a reasonable time. There is no fee for making a request, but we may charge you the reasonable costs of providing our response to a request for access to the information.

If we refuse to give you access to any of your personal information, we will provide you with reasons for the refusal and the relevant provisions of the Privacy Act on which we rely to refuse access.

You may ask us to correct any information we hold about you by contacting us. We will respond to your request to correct your information in a reasonable time. If we correct your information and it is information we have provided to others, we will notify them of the correction where required by the Privacy Act. If
your request to correct your information relates to information which has been provided to us by another organisation we may need to consult with them about your request. If we decide to correct information we will do so within 30 days of your request or a longer period if you agree.

If we do not agree with the corrections you have requested we will give you a written response which sets out the reasons for our refusal.

Once we receive your complaint, we will respond to you as soon as possible and will let you know if we need any further information from you. We will notify you of our decision within 30 days, or if we are unable to do so, we will let you know why there is a delay and the anticipated timeframe to resolve the complaint.

If you are not satisfied with our response or the way in which we have handled your complaint, you may contact the Australian Financial Complaints Authority, our external dispute resolution scheme, or the Office of the Australian Information Commissioner.

Changes to this Privacy Policy

We can make changes to this Privacy Policy from time to time without notifying you but ordinarily we will notify you of any significant changes.
